Terms and Conditions

The terms and conditions stated below will apply to your placement with Shumba Experience. Please read them carefully, as you will be bound by them.

1. Volunteers applying for a placement must complete a booking form and accept the terms of these booking conditions. You are also required to pay a deposit of £150 for each placement, which must be received by us not later than 10 days after submission of the form.

2. It is the responsibility of each volunteer to ensure they have a valid passport with at least 6 months beyond your expected departure date and hold any applicable visas at the time of travel.

3. It is a compulsory condition for all volunteers to have valid travel insurance for their trip, with adequate cover for all placement activities. For volunteers aged 70 years and over, a medical certificate will be required from your doctor at least 8 weeks prior to departure stating that you are fit enough to undertake the proposed placement.

4. The balance of the cost of the placement must be paid by at least 8 weeks before departure or by the due date shown on your invoice, whichever is sooner. If the balance is not paid in time we reserve the right to cancel your placement and retain your deposit.

5. You may cancel your placement at any time providing that the cancellation is communicated to us in writing. Since we incur administrative costs for cancelling your placement, we will retain your deposit and in addition may apply cancellation charges up to the maximum shown below.

The cancellation charges are calculated as a percentage of the placement cost dependent upon the period before departure when written cancellation is received.

Notified 70 days or more before departure Loss of deposit

Notified 69 – 56 days before departure 40% of total price

Notified 55 – 29 days before departure 60% of total price

Notified 28 – 15 days before departure 80% of total price

Notified 14 – 0 days before departure 100% of total price

6. If volunteers have a complaint during their placement, please inform the placement leader or local representative immediately who will endeavour to correct matters. If the complaint cannot be resolved locally, please write to us within 28 days of your return and send to Shumba Experience, 6 Coventry Street, Brighton BN1 5PQ.

7. Please note that whilst placement leaders try to ensure volunteers experience all placement activities listed on the Shumba Experience website, it can not be guaranteed and is the prerogative of local operators to change any listed activities.

8. It may be necessary for Shumba Experience to send information about the volunteer to representatives in the host country. The volunteer hereby agrees that Shumba Experience may disclose his/her personal data, including any sensitive personal data, such as relevant medical history, to the placement leaders and any other representatives in the host countries.
